Purchase Clearing Specialist

Directly responsible for performing the day-to-day tasks to ensure all loans are sold; manage workload within timeline, quality and volume performance objectives.

Duties and Responsibilities:

  • Receive closing package and prepare collateral file folder same day received. Distribute to Post Closer for Collateral Review.  Endorse Note and package collateral files for delivery to Custodian. Review Custodian Exception report daily and resolve any exception items. Update database to reflect all activity.
  • Review Final Title Policy and Recorded Security Instruments using specific checklists within specified time frames.  Verify specific data elements and accurately update mortgage system. Identify and enter all data/document exceptions and subsequent resolution activities in database. Submit documents for scanning and package original documents for delivery to investor/forward bulk purchaser. Aggressively pursue outstanding documents greater than 60 days.
  • Contact customers if applicable in a courteous/professional manner; validate customer identify to comply with privacy policies. Prepare corrected documents for execution, obtain required signatures, and send for re-recording, scan and index corrected documents to database.  Track resolution activities into mortgage system.
  • Perform other projects, duties and/or back-up functions as assigned in accordance with specified requirements and timelines.
  • Maintain positive relationships with customers, external business partners (title/closing agents, investors/purchasers) and all areas of Citywide.
  • Successfully complete required training; comply with all Citywide policies, applicable procedures and regulatory guidelines.

Experience and Educational Requirements:

  • Experience is a MUST! At least 2+ years
  • Working knowledge of document preparation software
  •  MS Word, MS Excel, etc.
  • Knowledge of Encompass is extremely helpful but not required
  • Must be detail oriented, organized, and understand new MDIA and RESPA requirements
  • Good communication and customer service skills are a must.
  • Experience in drawing closing documents and funding and shipping mortgage loans
  • Prepare Mortgage loan release documents and required cover letters
  • Retrieve necessary information
  • Research and respond to inquiries received from borrowers
  • Develop and maintain positive, effective working relationships with County Offices, Title Companies, etc.
